Sharing and Publishing Files or Folders in Google Drive
There are a few different ways to share files in Google Drive. Sharing will allow the person to view, comment, or edit the file. Publishing will allow anyone to view the file via an HTML link.
Share files from Google Drive
Step 1:
In Google Drive, right-click the file or folder you would like to share and click the Share button.
Step 2:
The share window will open. Here you can search for users to add, or remove existing users from the share. There is also an option for a link to the file (this is similar to publishing). This link will allow anyone with the link to view it, but they will not be able to edit or comment.
Step 3:
When adding a user to the share, you can choose to send a message, and select the share permissions for that user (Editor, Viewer, and Commenter)
Publishing a File in Google Drive
Publishing a file will allow anyone on the internet to view it via a share link. This is useful when making a public document you would like to share with someone who does not have a KPBSD G Suite account.
Step 1:
Open the file in Google Sheets, Docs, or Slides. Click File > Publish to the Web
Step 3:
The publish window will open, click Publish. A public link will be provided, and here you can copy and share this link. Viewers of this link will not be able to edit or comment.
